What is a Content Management System or CMS?

CMSA Content Management System or CMS is a computer system or access panel that allows for the publishing, editing and modifying of website content as well as full site maintenance from a central page. Essentially what it does is that it provides a collection of procedures used to manage workflow processes in a collaborative environment.

In a CMS, data can be defined as nearly anything from documents, text, pictures etc. CMS’s are frequently used for storing, revising, controlling, semantically enriching and publishing documents. A CMS serves as a central repository and increases the version level of new updates to an already existing file. Version control is the primary advantage of a CMS.

How to choose a CMS

The core features of Content Management Systems vary widely from system to system; many of the simpler systems showcase only a handful of features whilst others are far more complex and powerful.
Some of the questions you need to ask yourself when choosing a CMS should be:
  • Does the CMS allow for a number of people to share and contribute to stored data?
  • Can we control the access to data based on user roles?
  • Does the CMS facilitate storage and retrieval of data?
  • Can we control data validity and compliance?
  • Can we reduce duplicate inputs?
  • Does the CMS allow for easy reporting procedures and analysis?
  • Can the CMS help improve communication among users?
  • Does the CMS define data as almost anything?
At the end of the day, a CMS must be user-friendly and suit the purpose of the organisation. Two main factors that should be considered before investing in a CMS are as follows:
An organisation’s size and geographic dispersion must be considered especially if the organisation is spread out over a wide geographical area or over several countries.
The multiplicity of the electronic data forms used within an organisation must be taken into account.

Zeitgeist” means “the spirit of the times,” Google Zeitgeist shows what the most popular internet searches have been over the past year. From looking at these searches, isn’t it evident that people are utilising the internet more to search for information than for services.
